COST COVERAGE
Release Time Reimbursement
For those unable to access PD funds, CIVIX will reimburse schools or school divisions for any release time costs (supply teacher expenses). It is up to each teacher to arrange their release time with their school or school division and CIVIX will provide reimbursement.
The easiest way to process release time reimbursement is to have your school or school division invoice us directly. Please let them know that they can send the invoice to our head office:

Invoices can also be submitted after the event by email to bootcamp@civix.ca. The date on the invoice should be the date of the event (September 26 or 27). Invoices should be submitted to CIVIX by October 31, 2024.
Accommodation
For those living outside Saskatoon, CIVIX will cover shared accommodation for the night of September 26 at the Delta Hotel Bessborough.
Private accommodation is available for a subsidized rate of $100 (in addition to the $40 registration fee).
You may select your accommodation preference on the Eventbrite registration form.
Travel Reimbursement
CIVIX will cover parking at the hotel for all attendees.
CIVIX will reimburse attendees living outside Saskatoon for other transportation costs, including mileage and bus.
We will be processing reimbursements for travel expenses after the event. We will email all attendees invoice templates to fill out and submit back to our head office.
Outside of mileage claims, receipts must be provided for each expense.
For those driving, please submit documentation showing the distance travelled (Google Map directions or similar). Mileage will be reimbursed based on the CRA rate of $0.55/km.
PLEASE NOTE: We will not be reimbursing meals while travelling. CIVIX will provide food and beverages at Thursday’s reception as well as breakfast, lunch, and snacks on Friday.
While we are pleased to be able to reimburse many expenses to ensure your participation in Democracy Bootcamp, any reasonable attempts at cost savings or professional development funds you could access would be very much appreciated.

Release Time
How do I arrange my release time?
We leave it to each teacher to make arrangements for their leave with their school or school division, and we will reimburse those costs after the event. How many days are covered?
We will reimburse a full day of release time for September 27 as well as the necessary release time to travel to the event (if you live more than 3 hours away). We ask teachers to choose a travel option that minimizes their time away from their classrooms, and if travelling on Thursday, to limit their absence to a half day if possible.
Can you prepare a letter for my school or board?
Yes, we can put that together for you. Please email us at bootcamp@civix.ca and let us know if there is a specific contact or department at your school board office or school to whom we should address the letter.
How does reimbursement happen?
Your school division or school can send us an invoice for the release time costs after the event, and we will process reimbursement payments in the weeks following.
Travel
Who makes travel arrangements?
We leave it to teachers to make their own transportation arrangements, which you can submit for reimbursement after the event.
Please keep track of all travel documentation and receipts, and we will provide a form and submission instructions at the end of the event.
What is eligible for reimbursement? What is not eligible for reimbursement?
CIVIX will reimburse mileage or bus for attendees living outside Saskatoon.
Receipts must be provided for each expense (except mileage claims). We cannot provide reimbursement for expenses submitted without receipts.

Is on-site parking available? How much does parking cost?
Parking is available at the hotel at a rate $20 per day. CIVIX will reimburse parking as a travel expense. Please hold on to all receipts.
What are the guidelines on travel?
Any travel outside of car or bus must be pre-approved by CIVIX.
Accommodation
How are reservations made with the hotel?
You can indicate your preferred accommodation by selecting the appropriate ticket type on the registration page, and then CIVIX will make all arrangements with the hotel.
CIVIX has reserved a block of rooms at the Delta Hotels Bessborough. Please contact us directly at bootcamp@civix.ca for all inquiries related to your accommodations.
How many nights of accommodation does CIVIX cover?
Accommodations are offered for Thursday September 26.
If Friday night accommodation is needed due to travel more than 4-5 hours, please contact CIVIX.
My accommodation needs have changed. Who do I contact?
Please contact us directly at bootcamp@civix.ca for any changes to your accommodations.
Please note that requests for rooms or extra nights received after September 16 are subject to the hotel’s availability and cannot be guaranteed.
General
I’m no longer able to attend. Can I get a refund?
Yes, please contact us as soon as possible at bootcamp@civix.ca to request a refund. We can offer a full refund for cancellations made before 12 p.m. on Tuesday, September 24.
How do I select the workshop I wish to attend?
Democracy Bootcamp can be considered one workshop and attendees are encouraged to attend all sessions.
Is there a dress code?
There is no dress code for Democracy Bootcamp.
Are meals provided?
CIVIX will provide appetizers at Thursday’s reception as well as breakfast, coffee break, and lunch on Friday.
What materials should I bring to the event?
Please bring your phone, tablet, or laptop on Friday so that you can participate in interactive presentations and practice digital media literacy skills. Free Wi-Fi will be available.
What grades or subjects is this most applicable to?
This event is designed for teachers in grades 7-12, but is also applicable for teachers in grade 4-6. The content can be applied across a range of subjects that deal with civic education, such as Social Studies or English.
Can I get a receipt for my registration?
Eventbrite includes a record of payment in your confirmation email; however, if you would like us to issue a formal receipt for your registration and/or accommodation fees, please email us at bootcamp@civix.ca.
Reimbursement
How long does reimbursement take?
Reimbursement will typically be issued within 4 weeks of submitting your expenses, but may take longer depending on the volume of requests we receive at a time.
How will I receive my reimbursement?
We can issue payment by cheque or by Plooto email transfer (note: these may appear differently than Interac e-transfers but will function the same way).
