Accommodation
Accommodation at the EXchange Hotel Vancouver is available either Tuesday, August 20 or Wednesday, August 21 for those educators living outside Metro Vancouver Regional District (except for Bowen Island and other special circumstances). Shared accommodation is complimentary, and private accommodation is available at a subsidized rate of $130.
For shared accommodation, you may share with a friend or colleague who is also attending, or CIVIX can pair you with another attendee.
You may indicate on the registration form your accommodation preference and which night you would prefer.
Travel Reimbursement
CIVIX will reimburse attendees for travel expenses, including flights (economy class only), mileage, transit, parking, etc. Please make your own travel arrangements to Democracy Bootcamp.
We will be processing reimbursements for travel expenses after the event. We will email all attendees invoice templates to fill out and submit back to our head office.
Receipts must be provided for each expense except mileage claims. We cannot provide reimbursement for expenses submitted without receipts.
Airline tickets, bus tickets, and boarding passes (showing the cost of the trip) and any taxi, or transit receipts should be submitted with your reimbursement invoice. For those driving, please submit documentation showing the distance travelled (Google Map directions or similar). Mileage will be reimbursed based on the Government of BC rate of $0.63/km.
PLEASE NOTE: We will not be reimbursing meals while travelling. CIVIX will provide a morning snack and lunch during the conference as well as food and beverages at the post-event reception.
While we are pleased to be able to reimburse many expenses to ensure your participation in Democracy Bootcamp, any reasonable attempts at cost savings or professional development funds you could access would be very much appreciated.

Travel
Who makes travel arrangements?
We leave it to teachers to make their own transportation arrangements, which you can submit for reimbursement after the event.
Please keep track of all travel documentation and receipts, and we will provide a form and submission instructions at the end of the event.
What is eligible for reimbursement? What is not eligible for reimbursement?
CIVIX will reimburse mileage, flights, trains, transit, etc., economy class only. Receipts must be provided for each expense (except mileage claims). We cannot provide reimbursement for expenses submitted without receipts.
CIVIX will not reimburse “extras” on flights, such as seat selection, travel insurance, or checked baggage (unless your fare charges for carry-on).

Is on-site parking available? How much does parking cost?
There is on-site parking at the Vancouver Convention Centre at a rate of $30 for the day. If you are parking at the venue, please use the West Lot. Additional information on this parkade can be found here. CIVIX will reimburse parking as a travel expense with submission of receipts.
Attendees staying at the hotel may park at the hotel and bill parking costs to their room.
When and how is travel reimbursed?
Immediately following the event, we will share a reimbursement form with all attendees. Invoices should be submitted to CIVIX by September 30, 2024.

Reimbursement will typically be issued within 4 weeks of expenses being submitted, but may take longer depending on the volume of requests we receive at once. Ensuring your reimbursement forms are completed with all required information and submitted with all receipts will help reduce delays in processing.
We typically process reimbursements on a first-come, first-served basis, but may prioritize large out-of-pocket expenses if needed. Payments are issued by cheque or e-transfer through our payment processor, Plooto.
Accommodation
How are reservations made with the hotel?
You can indicate your accommodation preference by selecting the appropriate ticket type on the registration page, and then CIVIX will make all arrangements with the hotel.
CIVIX has reserved a block of rooms at the EXchange Hotel Vancouver. Please contact us directly at bootcamp@civix.ca for all inquiries related to your accommodations.
How many nights of accommodation does CIVIX cover?
Accommodations are offered for either Tuesday, August 20, or Wednesday, August 21.
If you would like to extend your stay at the EXchange Hotel Vancouver to include an additional night, you are welcome to purchase the extra night at our group rate of $420 + taxes and fees (subject to the hotel’s availability). Please contact us directly at bootcamp@civix.ca to make these arrangements.

Please note that requests for rooms or extra nights received after July 30 are subject to the hotel’s availability and cannot be guaranteed.
General
I’m no longer able to attend. Can I get a refund?
Yes, please contact us as soon as possible at bootcamp@civix.ca to request a refund.
We can offer a full refund for cancellations made before 12 p.m. on Wednesday, August 14.
How do I select the workshop I wish to attend?
Democracy Bootcamp can be considered one workshop and attendees are encouraged to attend all sessions.
Is there a dress code?
There is no dress code for Democracy Bootcamp.
Are meals provided?
CIVIX will provide a morning snack and lunch during the conference as well as food and beverages at the reception.
What materials should I bring to the event?
Please bring your phone, tablet, or laptop so that you can participate in interactive presentations and practice digital media literacy skills. Free Wi-Fi will be available.
What grades or subjects is this most applicable to?
This event is designed for all grade levels. The content can be applied across a range of subjects that deal with civic education, such as Social Studies or English.
Can I get a receipt for my registration?
Eventbrite includes a record of payment in your confirmation email; however, if you would like us to issue a formal receipt for your registration fee, please email us at bootcamp@civix.ca.
