How does release time reimbursement work?

CIVIX will reimburse schools or school boards for any release time costs (supply teacher expenses) to support teacher attendance. It is up to each teacher to arrange their release time with their school or school board and CIVIX will provide reimbursement following the event.

The easiest way to process release time reimbursement is to have your school or board invoice us directly after March 21. Please let them know that they can send the invoice to our head office:

Invoices can also be submitted after the event by email to hello@civix.ca. The date on the invoice should be the date of the event (March 21). Invoices should be submitted to CIVIX by April 30, 2025.

How does travel reimbursement work?

CIVIX will reimburse teachers living outside the Greater Toronto Area for travel expenses. Please make your own travel arrangements to Democracy Bootcamp. CIVIX will reimburse mileage, flights, trains, transit, etc. (economy class only).

Please choose the option that minimizes your time away from your classroom, as the cost of additional release time often exceeds the cost of travel.

If your trip requires a flight, train or bus trip, please book these tickets as soon as possible, as prices can increase significantly. CIVIX will not reimburse “extras” on flights, such as seat selection, travel insurance, or checked baggage (unless your fare charges for carry-on).

We will be processing reimbursements for travel expenses after the event. We will email all attendees an invoice template to fill out and submit back to our head office.

Receipts must be provided for each expense (except mileage claims). We cannot provide reimbursement for expenses submitted without receipts.

Airline or bus tickets or boarding passes (showing the cost of the trip) and any taxi, or transit receipts should be submitted with your reimbursement invoice. For those driving, please submit documentation showing the distance travelled (Google Map directions or similar). Mileage will be reimbursed based on the federal government rate of $0.63/km.

PLEASE NOTE: We will not be reimbursing meals while travelling. CIVIX will provide food and beverages at Thursday’s reception, as well as breakfast, a coffee break and lunch on Friday.

While we are pleased to be able to reimburse many expenses to ensure your participation in Democracy Bootcamp, any reasonable attempts at cost savings or professional development funds you could access would be very much appreciated.

Where can I park?

If you are driving to Democracy Bootcamp, please do not park at the hotel as we will not be reimbursing for valet parking. Please park at the Nathan Phillips Square Garage Parking (110 Queen Street West) or at the Bay Adelaide Centre (40 Adelaide St. West). More information is available here.

What materials should I bring to the event?

Please bring your phone, tablet, or laptop so that you can participate in interactive presentations and practice digital media literacy skills. Free Wi-Fi will be available.
